1. Service Description

The Kyocera Scanner SMTP Relay ("Service") is an email relay operated by Carrel's Office Solutions that enables office copiers and multifunction devices to send scanned documents via email. The Service accepts SMTP connections from authorized devices and sends email through connected Microsoft 365 accounts, Google Gmail accounts, or the kyocerascanner.com domain.

2. Acceptable Use

You agree to use this Service only for:

  • Sending scanned documents from authorized copiers and scanners
  • Legitimate business email communications

You agree NOT to use this Service for:

  • Sending spam, bulk unsolicited email, or marketing campaigns
  • Sending malicious content, phishing, or fraudulent messages
  • Any activity that violates applicable laws or regulations
  • Attempting to circumvent authentication, rate limits, or security controls
  • Sharing SMTP credentials with unauthorized parties

3. Account Security

You are responsible for keeping your SMTP credentials confidential. Each set of credentials is intended for use by a single device. If you suspect unauthorized use of your credentials, contact your administrator immediately to reset your password.

4. OAuth Account Connection

When you connect a Microsoft or Google account, you authorize this Service to send email on your behalf using the connected account. You may revoke this authorization at any time through your Microsoft or Google account settings. If your authorization expires, the Service will notify you via email to re-authenticate.

5. Rate Limits

The Service enforces rate limits to prevent abuse. Each user account is limited to 100 emails per hour. Exceeding this limit will result in temporary rejection of messages. Additionally, the connected email provider (Microsoft or Google) may enforce their own sending limits.

6. Service Availability

The Service is provided on an "as-is" basis. While we strive for high availability, we do not guarantee uninterrupted service. Scheduled maintenance, provider outages, or security incidents may result in temporary unavailability.

7. Limitation of Liability

Carrel's Office Solutions is not liable for any damages arising from the use of this Service, including but not limited to: undelivered or delayed emails, email content errors, or service interruptions. This Service relays messages as submitted by the sending device and does not modify email content.

8. Termination

We reserve the right to suspend or terminate access to the Service for any user who violates these terms, engages in abuse, or poses a security risk. Users may request account deletion at any time by contacting their administrator.

9. Changes to Terms

We may update these terms from time to time. Continued use of the Service after changes constitutes acceptance of the updated terms.
